Yes, a new client is getting started with Leviy! 

This step-by-step plan will help you create the basic configuration for your new client in Leviy. You'll also read how to set up quality controls and other features, such as Notifications, Files, Cleaning Status, Tasks, and Work Programs. Follow the steps below to get your new client working with Leviy.

1. Basic Configuration

1.1 Client, object & unit configuration

The basic configuration in Leviy consists of three levels: Clients, Objects & Units.

  • At 'Client level', you add the client name and reference number if any, for example: TopBank Group
  • At 'Object level', you add the (different) location(s), for example: TopBank London and TopBank Birmingham. 
  • The 'Units' are not mandatory, but are often set up for cleaning as rooms of the location. For example, 'Office 001' and 'Toilet Ladies', where the unit category is the type of space (office room or sanitary facilities) and the part is the floor or part of the building.

Please note!
To use Leviy, clients & objects must always be configured. Is it not a client with multiple locations, but one individual client? Then you fill in the same name for client & object, for example: Client = Bank of London & Object = Bank of London.


1.2. Create Groups

Using a 'Group', you can specify in Leviy which clients, objects and/or units a user can see. For cleaning, two modes of operation are chosen:

  • Group based on a rayon — In this group(s) you link the relevant clients & objects and all units of these objects.
  • Group based on a location — In this group(s) you link the relevant clients & object and all units of this object. This configuration is for employees who are only responsible for this location.

1.3 Roles

The 'Role' of a user determines what rights a user has and therefore what the user is allowed to do in Leviy. For example, a cleaning employee has other responsibilities and thus other rights in Leviy, than a cluster manager. Often roles are already set up at the start of Leviy. 2. Getting started with Cleaning

The basis of the 'Cleaning' solution is the 'Quality' component, which you apply by setting up and implementing a DKS-, MKS-, RQMS quality check and/or Checklists. Depending on your customer's requirements, you choose the appropriate control(s). In addition, in 'Cleaning' you typically use the features Forms, Cleaning Status, Issues, Files, Task Registration and Time Registration. Below you will find all the information you need to get started.


2.1 DKS quality check

Do you want to link an existing DKS quality check to one or more new objects? Then read how to modify an existing DKS definition in this article.


Tip
Create a DKS definition that you can use for all objects, and link the definition to all objects. If you want to create a specific DKS definition per type of object, you can link the different objects per DKS definition. Keep in mind that with new objects, you will always have to add them manually, as you make the choice which DKS definition applies. 
Work with an imported room state, so that the audit is always done on the same room titles. It is also possible to do a DKS quality check without a room state, but keep in mind that the user must then name the room in the app themselves: 'WC Men' versus 'Toilet Men' versus 'Men's toilet'. 2.2 MKS quality check

Is it not the DKS quality check you are working with, but the 'MKS quality check'? Follow the steps in this article to create a new MKS definition or link it to an object.


2.3 RQMS quality check

You have discussed the requirements with your client and want to use the RQMS quality check? Then ask your client manager for more information.

4. Optional configuration other modules

It worked! You've created your client, set up cleaning quality controls and given your employees access to Leviy. Besides cleaning quality controls, Leviy has other solutions to help improve your cleaning process. Do you have questions about the following modules? Please contact your customer manager!


4.1 Issues

You can use 'Issues' to create a technical defect or a complaint. In this article, you will learn how to create the different issue types and how to link them to the units of the object. 


Tip
It is possible to add preset labels in issue so that, for example, “Lamp Broken” can be clicked when creating a technical issue. Ask your client manager for more information.


4.2 Cleaning Status

With 'Cleaning status' you can plan the daily cleaning of your location. You will first have to activate the Cleaning status for all units of the respective objects. In this article, you can read how to activate it. Furthermore, labels can be created. With labels, you can indicate, for example, which type of cleaning should be performed. Tip 
It is possible to set up a status proposal for a checklist. When sending the checklist with points of attentions, Leviy will suggest changing the status of the unit to 'Dirty' or to 'Done' if no points of attention have been identified. Ask your client manager to enable this for the checklist.


4.3 Task registration

Want to register and plan tasks? 'Task registration' makes it possible to register tasks performed as a cleaner. Furthermore, you can also schedule tasks for objects and associated units. Before you register or plan a task, you must first create a task definition. You can read how to do this in this article.


4.4 Time & Attendance

Want to get started with 'Time Registration'? You will first need to activate Time Registration for all required objects and associated units. 4.5 Work schedule

The 'Work schedule' provides a convenient setup of a digital work schedule. The advantage of digitisation is that it allows for more efficient work and easier insights from the records, as opposed to working on paper. Read all about configuring the work schedule in this article.


4.6 Files

Do you want to make information available to employees and possibly clients in Leviy? You can do this in ‘Files’ where you can store all kinds of files; for example work instruction cards, safety sheets, work programmes, etc. To do this, you first need to add a ‘File category’ and then save your files in Leviy.
