In Leviy there is the possibility to create inventory lists. Inventory lists can be used to easily register missing inventory items. To add an inventory list you need to go through a number of configuration steps on organisation, object and unit category level.
Navigate to the required steps from here:
Organisational level
All inventory items are registered in Leviy as elements. These are generally created by an Administrator. Follow the steps below to create the elements.
1. Click on Control and then on Elements in the menubar
2. Click on Add in the top right corner to add a new element
3. For Title fill in the title and choose the option Countable
4. Click on Add
The element has been added.
Object level
Follow the steps below to configure the inventory for an object:
1. Navigate to the required Object via the menu bar
2. Click on Configuration at the top right
3. Click on Inventory and click on Add elements
Tip By sliding the elements from top to bottom, you can order the different elements, for example alphabetical.
Unit category level
Follow the steps below to add the numbers to the inventory:
1. Navigate to the required Object via the menu bar
2. Click on Unit categories in the local navigation, then click on the required unit category
3. On the overview of the unit category you will find the total number of inventory elements. To add or edit inventory, click on Inventory
4. The inventory list is now visible, per element the number of items can be entered in the column "amount"
Importing inventory
Follow the steps below to create an inventory in Leviy via an import:
1. Click on Control and then on Import in the menubar
2. At step 1, choose Inventory
3. Click on Template at step 2 to download the template
4. Open the template and fill in the following data
a. Column A: Enter the Object_id. You can find this number in the Dashboard for the relevant object. Navigate to the object and find the ID number in the URL, see print screen below.
b. Column B: Fill in the Unit category_id. You can find this by going to the relevant unit category in Leviy and looking up the ID in the URL, see print screen below
c. Column C: Enter the Title of the inventory item, e.g. Dishwasher brush
d. Column D: Enter the amount of items that should be present for the unit category
Take note - An empty cell in column D cannot be imported. If you enter 0 here, the item will be visible in the app with 0. - The import file will immediately save the list. It is therefore advisable to import a unit category once and then fill in 0 for the items that are not applicable. In the unit category, you can remove the 0 from the various items. After that you can remove empty lines in all other unit categories and import them.
5. Save the template with the required name
Take note Do NOT change the bold row in the template. The file cannot be imported without his data.
6. Go back to the Dashboard
7. Now upload the file you just filled in and saved in step 2
8. Click on Next
The import of the elementsunits will start. Afterwards, you will be informed how many rows have been successfully imported and if any rows have been skipped.
9. Click on Continue to complete the import
Take note Inventory that is already in the system will not be overwritten by an import. If you want to change inventory, you have to do it manually.
