How do I create clients, objects and units?

The basic configuration in Leviy consists of clients, objects and units. It is essential that you add them in this order. So first create the client, then the objects. If desired, you can add units to an object. 


Click on the subject you want to know more about below:


Create a client

Follow the steps below to create a client:

1. Navigate to Organisation through the main menu

2. Go to Clients in the menu on the left

3. Click on Create Client at the top right

4. Fill in the following details:

a. For Title, fill in the title of the new client

b. For Client number, if desired, fill in a numerical code, e.g. the debtor number

c. For a logo, if desired, click on Browse

5. Click on Save

The new client is added to Leviy. 



Tip
If you go to the customer page after creating the customer and then the objects tab, you can add objects to the customer quickly and easily. 



Create an object

Follow the steps below to create an object:


  1. Navigate to Organisation at the bottom left
  2. Click on Clients and find the relevant customer
  3. Select Objects
  4. Select Objects under the title and then you have 2 options to create an object.
  • Option 1 :Enter the following information here:

    1. Title of the object you want to create

    2. Time zone (this will already be set to Euorpe / Amsterdam by default)

    3. At Object number, enter a number code, e.g. the debtor number

    4. Press Enter, you have created a new object under the relevant customer.

  • Option 2: First click on the plus sign at the top right and enter the following information

    1. Object title

    2. Object number

    3. The address of the object

    4. Then press save.    



Take note
It may take some time before the object also appears on the dashboard



Create a unit

Follow the steps below to create a unit:

1. Navigate to the Object via the app bar

2. Click on Units under the client name 

3. Click on Addin the top right corner 

4. Fill in the following details

a. For Title, fill in the title of the new unit

b. For Unit category, select the unit category

c. For Unit number, fill in the number

d. For QR code, optionally link a QR code

e. Select the part(s) where the unit is located

5. Click on Save

The new unit has been added to Leviy.


To add a unit, at least one unit category needs to be created for this object.


 


Import clients and objects

Please follow the steps below in order to create multiple clients and objects through an import:

1. Click on Control and then on Import

2. For step 1, choose Clients & Objects

3. For step 2, click on Template to download the template


4. Open the template and fill in the following details

a. Column A: For client_title, fill in the title of the client

b. Column B: For object_title, fill in the title of the object

c. Column C: For address_street, fill in the address of the object

d. Column D: For address_number, fill in the house number of the object

e. Column E: For address_zipcode, fill in the postal code of the object

f. Column F: For address_city, fill in the location of the object

g. Column G: For address_country, fill in the country of the object

h. Column H: For client_number fill in a client number, for instance, the customer's debtor number

i. Column I: For object_number fill in an object number, for instance, the debtor number of the object

5. Save the template with the desired name

Take note
Do NOT modify the bold row in the template. The file can only be imported with this data. 


6. Go back to the Dashboard

7. Upload the file you just filled in and saved of the clients & objects at step 2

8. Click on Next

The import of clients & objects is started. Afterwards, you will be told how many rows were successfully imported and any skipped rows will be displayed.

9. Click Continue to complete the import


Take note
If the details of a client or object change, they can only be overwritten through an import if a client or object number is known.

Import units

Follow the steps below to create multiple units through an import:

1. Click on Control and then on Import

2. For step 1 choose Units

3. For step 2, click on Template to download the template


4. Open the template and fill in the following details

a. Column A: Enter the Object_id

This number can be found in the Dashboard for the relevant object. Navigate to the object and find the ID number in the URL, see the print screen below.

b. Column B: For number, fill in the unit number

c. Column C: For title, fill in the title of the room, for example: 'Management Office', 'Ladies' Toilet', 'Warehouse', etc. 

d. Column D: For unit_category_title, fill in the title of the unit category

e. Column E: For qr_code, optionally link a QR code

f. Column F: For layout_, fill in the layout of which you want to link parts by filling in the name of the layout after layout_ in the first cell. For example layout_Floor, layout_Task or layout_Construction. And then fill in the title of the part each unit should be linked to.

5. Save the template with the desired name


Take note
Do NOT modify the bold row in the template. The file can only be imported with this data. 
- In the column 'Layout_.. ', the value 0 is not processed. If you have a floor 0, name it BG / Ground floor for example or add floor 0 manually later.



6. Go back to the Dashboard

7. Now upload the file you just filled in and saved for step 2

8. Click on Next

The import of units will be started. Afterwards you will be shown how many rows were successfully imported and any rows that were skipped.

9. Click on Continue to complete the import



Take note
- Modifying units is possible through the import, when the unit number is the same, the Unit Title, Unit Category, QR code & Part will be changed. In this regard it is important that the unit number is unique.
- If the 'Layout/Part' column is entered, then the specified Part for that Layout at the unit will be adopted as new truth. If no Part is entered, the Part will be deleted. Deleting the entire Layouts column prevents this.
